Start with a room-by-room list
Record each visible issue by room. Doors and cupboards, tired finishes, loose shelving and damaged flooring can be described separately, even if they may later be grouped into one visit. Include wider photos and close-ups of the items that need attention.
- Identify the property and access contact.

- Record any parts or paint already purchased.
Agree access and the scope together
Tell WMB whether the property is empty, whether furniture remains and who can provide keys or attend. The timing depends on the work, materials and any preparation or drying time. A move-in date is useful planning information rather than a promise that every task can be finished before it.
Keep maintenance separate from required inspections
